At Wing Chun Halesowen, we are committed to maintaining a safe, respectful, and professional environment for all students, parents, carers, and staff. We believe in clear communication and fairness, and we take all complaints seriously. Our aim is to resolve any concerns quickly, fairly, and with transparency.

This page explains how parents, carers, and members of the public can raise a concern or make a formal complaint, and how these will be handled.

How to Make a Complaint

We encourage anyone with a concern to speak to us as soon as possible, as early resolution is often the quickest and most effective approach.

Stage 1 – Informal Resolution
If you have a concern, please start by discussing it directly with the person involved, such as your instructor or a member of the admin team. Most issues can be resolved at this stage through open communication.

Stage 2 – Formal Complaint
If you are not satisfied with the informal response or prefer to make a formal complaint, please complete our Complaints Form using the link below.
Submit a Complaint >>

Alternatively, you can email: si**@******************co.uk

When submitting a complaint, please include:

  • Your full name and contact details

  • Details of the issue (what happened, when, and who was involved)

  • Any steps already taken to resolve it

  • The outcome you would like to see

We will acknowledge your complaint within five working days and begin an investigation.

Investigation and Response

Once received, your complaint will be handled by a senior member of staff who will:

  • Investigate the matter thoroughly and fairly

  • Speak with all relevant parties

  • Keep you informed throughout the process

You will receive a written response within 10 working days, outlining our findings and any actions taken. If more time is required, we will notify you of the revised timeframe.

Appeals Process

If you are not satisfied with the outcome, you have the right to appeal.
To do so, please email si**@******************co.uk within seven working days of receiving your response, explaining the reasons for your appeal.

Your appeal will be reviewed by a senior independent member of staff or an external reviewer to ensure fairness and transparency.
We aim to respond to all appeals within 10 working days.

Confidentiality and Fairness

All complaints are handled confidentially. Information is only shared with those directly involved in the resolution process. Wing Chun Halesowen operates a zero-tolerance policy towards retaliation — no one will face negative consequences for raising a concern or complaint.

Transparency and Record Keeping

Every complaint is recorded and reviewed periodically to ensure we continue to improve our standards and service. This supports our commitment to maintaining independence and transparency in our operations.
